Who Answers When You Call? Our AI Receptionist, Explained

An AI receptionist answers our phone 24/7. What it asks, how booking and texts work, how to reach a person, what is recorded, and the software behind it.

When you call (904) 561-4790, an AI receptionist answers, day or night, weekends and holidays included. It is not a call center and it is not voicemail. It books your visit on the same schedule the technicians work from, texts you a confirmation, and connects you with a person whenever you ask.

We would rather you know that before you call than find out halfway through. This guide covers what the receptionist asks, how booking works, what it can tell you about price, what is recorded, and what it does not do.

Why an AI answers our phone

Jax Appliance Pros is a new, owner-run company. Technicians are out on jobs, and nobody can pick up every call at 7 a.m. on a Sunday or in the middle of a repair. A phone that rings out sends you to the next company, and a voicemail leaves you wondering whether anyone will call back.

The receptionist answers every call, at any hour, and handles the part of the call that does not need a technician: it writes down the problem, finds a time and books it. The visits themselves happen during working hours, Monday – Saturday, 8:00 AM – 6:00 PM.

What it asks you

To book a home visit, the receptionist needs four things:

  1. Your name. If you call from a number that is already in our system, it asks you to confirm your name before it reads back anything on file. A matching phone number alone is not treated as proof of who you are.
  2. What is wrong, in your own words. "The fridge is warm but the freezer is fine" or "the washer stops with water in the drum" is plenty.
  3. The service address, with the street number, city and ZIP code. We cover Duval, St. Johns, Clay and Nassau counties.
  4. A time, picked from the openings it offers.

It also asks about the appliance: the type and usually the brand. If you have them handy, give the model number, the appliance's age, whether it is still under the manufacturer's warranty, and any error code on the display. All of that goes into the job notes, so the technician reads it before arriving.

Your phone number is the one you are calling from, unless you ask to use a different one. It does not ask for your email address, and you do not need a card to book.

How booking works

The receptionist checks the openings on our schedule and offers real times, not "someone will call you back to schedule." A same-day visit needs some notice before it can start, so a call at 7 a.m. will not get a technician at 7:30. Call before noon to ask about a same-day appointment.

Before it books, it confirms the details with you and waits for your yes. Listen to that part and correct anything it misheard, especially the street number and the ZIP code. The visit then goes on our calendar as a job, with your notes attached.

If something urgent is going on, like water on the floor or a refrigerator full of food that is warming up, say so. Urgent jobs are flagged and offered the earliest opening we have. The receptionist cannot promise a technician by a specific time.

The texts you will get

  • A confirmation right after booking, with the service, date, time and address, a link to check or update your details, and how to cancel by replying CANCEL APPT.
  • An "on the way" text when the technician heads to you.

Reply STOP to any of our texts to opt out. If your number has opted out, the receptionist tells you to write the appointment details down instead. There is no reminder text the day before, so add the visit to your calendar when the confirmation arrives.

What it can tell you about price

The receptionist quotes our starting prices, the same ones on our pricing page:

What it will not do is promise a total. Nobody can price a repair before the appliance is diagnosed. If it gives you a rough range, treat it as a ballpark: the technician tests the appliance and gives you a written flat-rate estimate before any work starts, and that estimate is the price you pay.

Talking to a person

Say "I'd like to talk to a person" at any point and the receptionist transfers you. It is set up not to talk you out of it. It also hands off billing questions, disputes and complaints it cannot resolve, and it transfers you if it gets stuck on the same thing twice.

The person who picks up gets a text with your name, your number and the reason for your call, so you do not have to explain everything again. If nobody can answer within about 30 seconds, you can leave a voicemail, and we get it as a transcript. Gas, smoke or sparks: hang up and get out

If you smell gas, see smoke or flames, hear a carbon monoxide alarm, or see an outlet or a wire sparking, do not stay on the phone with us. Get everyone out of the house and call 911 from outside; for a gas smell, call your gas company too. If you smell gas, do not flip light switches or use a phone inside.

When a caller mentions a gas smell, smoke, fire or sparking wiring, the receptionist is set to say the same thing, stop booking, and alert the owner. It does not book a visit on a call about a gas smell. It is not an emergency service; 911 is.

If an appliance is smoking or sparking and nobody is in danger, turn it off at the breaker if you can reach the panel safely, and leave it off until it has been checked.

We repair electric and induction appliances only. We do not work on gas ranges, gas ovens, gas cooktops or gas dryers, or on gas lines.

Recordings and your privacy

Every call is recorded and transcribed, and the call opens with a notice that it may be recorded.

  • Who can see them: our office only. Technicians cannot open call recordings or transcripts; they see the job: your name, address, appliance and problem.
  • How long we keep them: recordings and transcripts are deleted after 90 days. A short call summary and the job notes stay with your service history, which we need for the 60-day warranty.
  • Who processes them: the call runs through our phone provider and an AI speech provider, as our privacy policy explains. We do not sell your information.

If you would rather not talk to an AI, ask for a person as soon as it answers, or send a request with the booking form on this site instead.

What it does not do

  • It speaks English only.
  • It cannot diagnose your appliance. It writes down the symptoms; the technician finds the cause.
  • It can mishear, especially a street number or an unusual name, so listen when it confirms the details.
  • It cannot book gas appliance work, because we do not do it.
  • It is not 911.

The software behind it: Callbook

Our receptionist runs on Callbook, an AI phone receptionist and job-management system for service businesses. Disclosure: Callbook is owned by the same person who owns Jax Appliance Pros. No one paid for this section. We wrote it because Callbook is how our phone works, and you should know whose software is on the other end of your call.

Running a service business? What to check in any AI receptionist

Whichever service you choose, Callbook or another one, these are the checks we would make before letting it answer customers:

  1. Call it yourself, at night and on a weekend, and describe a real problem the way a customer would.
  2. Ask for a person. Find out where the transfer rings, how long it rings, and what happens when nobody picks up.
  3. Ask what a repair costs. It should quote your price list and never promise a total, a discount or anything free.
  4. Say "I smell gas." It should tell you to leave and call 911 from outside, and it should not try to book you.
  5. Check the booking. The appointment should land on the calendar your technicians actually use, with the caller's notes attached.
  6. Know what is recorded and tell callers. Recording rules differ from state to state, so check yours with an attorney.
  7. Read the transcripts. They show what callers ask for and where the receptionist gets confused.

Questions about our phone line

Can I book without talking to the AI? Yes. Send a request with the booking form, or email hello@jaxappliancepros.com.

Will the AI answer if I call back about an existing appointment? Yes. Once it confirms your name, it can look up your appointment. It will not change an appointment for a caller it cannot verify.

Can the office see what the AI booked? Yes. Every booking is a job on our calendar, and the office can open each call's recording, transcript and summary.

What if the AI got something wrong? Use the link in the confirmation text to check your details, or call back and ask for a person.
